The Role As a Legal Operations Specialist, you will play a crucial role in supporting the Benelux Legal Department, contributing to the efficient and effective delivery of legal services to the business.
Your responsibilities will span various areas, including legal support, information and communication management, technology and digitalization management, and data management and analytics.
You'll work under the guidance of the Head of Legal Belgium & Luxemburg and serve as a key link between the Legal Department and other teams, ensuring smooth operations and fostering a culture of continuous improvement.
Your tasks:
A) Legal Support Manage corporate housekeeping for Belgium and The Netherlands, overseeing activities like filing official documents, publications, and notarial deeds in Belgium.
Assist with transactional legal activities, legal research, and legal memo preparation.
Handle small-scale litigation management.
Ensure compliance with local laws and regulations in Belgium.
Collaborate with internal stakeholders and external agencies to facilitate complex transactions (Belgium only).
Optimize time management by centralizing administrative tasks, such as travel arrangements and processing external legal invoices.
B) Information & Communication Management Ensure effective usage and management of digital working tools and knowledge management tools within the Legal Department.
Create and share forms/templates to prevent knowledge loss and automate repetitive tasks.
Enhance communication within the Legal Department and with the Business using available technologies and platforms.
C) Technology & Digitalization Management Improve processes, workflows, and programs without compromising quality.
Stay updated on the latest software tools and provide training to the legal team members for increased efficiency.
Promote best practices to simplify data collection, streamline document management, and automate manual work.
Act as an interface with the IT Department and external experts for technical support.
Represent the Legal Department in the legal community for digital projects.
D) Data Management and Analytics Manage the reporting activities of the Legal Department, including BU reporting and external legal costs.
Develop methodology and tools for data analytics under supervision.
Ideal Profile Professional education in the field of law, business administration, economics, technology, 4communication, or equivalent experience.
2-4 years of experience in a similar position or equivalent roles in administration area.
Good knowledge of written and spoken English and Dutch.
Proficiency in the Microsoft Office 365 suite.
Advanced knowledge of the digital world or a proven passion for excelling in this area.
Excellent communication skills to interact effectively with various stakeholders.
Strong organizational and planning skills to manage multiple tasks.
The ability to work under pressure while maintaining a focus on priorities.
