As a key member of our team, you will be responsible for providing administrative support in the following areas:

General Administrative Support:

Provide comprehensive administrative support to our Country Lead, including organization of Belgian Sales Meetings twice a year (scouting trip in Belgium), follow-up on action plans and deadlines, and occasional coordination of agendas and travel arrangements in accordance with internal policies.Correspondence and Communication:

Handle standard correspondence independently, and provide support with special projects as needed.Procurement and Vendor Management:

Set up orders in Coupa, follow up on renewal and membership fees, and create new vendors in Coupa as needed.Legal Support:

Assist Benelux Counsel with basic legal work, including research, document preparation, and filing.

Act as liaison between Legal Counsel and Outside Counsel as needed.Corporate Housekeeping:

Manage annual accounts for French Cluster entities in Belgium and The Netherlands, including follow-up on reports, legalization requests, and yearly approval processes.

Ensure documents are published in the Official Gazette and KVK as necessary.Change of Legal Representatives:

Handle changes in legal representatives for Belgium and The Netherlands, including documentation, signature process, and publication in the Official Gazette and KVK.Financial Tasks:

Process legal fees/invoices, ensure necessary approvals are obtained, and arrange for payment and rebilling in a timely manner.

Create and follow-up on invoices for MAH (MVO in Belgium, Luxemburg, and The Netherlands) and pension fund.Archives:

Maintain accurate archives of legal documents and correspondence.Database Management:

Update hCue database with changes in entity information and legal representatives.Other Tasks:

Assist with creation of third parties in Securimate (Helen Clarke Deerfield) and yearly renewal exercise.What will you bring:

Management Assistant degreeAdvanced administrative experience at senior levelFamiliar with an International Business environmentAre you a highly skilled and service-minded individual with a passion for driving business success? You'll be responsible for gathering and organizing information, summarizing findings, and driving business success.

We need someone with a strong sense of ownership, business awareness, and the ability to network at all levels.

Meticulousness, pride in work, and dedication to confidentiality and discretion are essential.We're looking for someone who thrives in a fast-paced, dynamic environment and can prioritize tasks and meet tight deadlines.

Fluency in English, French, and Dutch is a requirement, as well as a respect for people.
